Legal
Terms & Conditions
These terms apply to trips planned and booked through B'yond the Clouds. They are written to be read, not to be skipped. If anything here is unclear, ask us before you book.
01
Booking and payment
- A booking is confirmed only once we have received your deposit and issued a written confirmation. Verbal or email agreement alone does not hold inventory.
- The deposit amount and full payment schedule are stated in writing before you commit. Deposits reflect what we must pay suppliers to hold your bookings.
- Final payment is due by the date stated in your confirmation. Late payment may result in the loss of held reservations at prevailing supplier terms.
02
Pricing
- Quoted prices are based on exchange rates, taxes and supplier rates at the time of quoting, and are held for the validity period stated on the quote.
- Where a price is subject to change, for example an unconfirmed airfare, we identify that clearly rather than leaving it implied.
- Prices exclude anything not explicitly listed as included in your itinerary.
03
Changes and cancellations
- Changes requested after booking are subject to supplier availability and any charges those suppliers apply, which we pass on at cost.
- Cancellation charges follow the schedule set out in your written confirmation and depend on how close to departure the cancellation is made.
- If we have to change a confirmed arrangement for reasons outside our control, we will offer the nearest equivalent alternative and explain the difference clearly.
04
Visas, passports and insurance
- You are responsible for holding a valid passport and the correct visas for your itinerary. We guide the process and provide documentation, but we cannot apply on your behalf.
- Travel insurance is mandatory on all our trips. Several destinations also require proof of cover as part of the visa application.
- Entry decisions rest entirely with the immigration authorities of the country concerned.
05
Our responsibility
- We plan your trip and book arrangements with suppliers on your behalf, and we take responsibility for doing that carefully and honestly.
- Services on the ground are delivered by independent suppliers under their own terms and conditions, which we will share with you on request.
- We are not liable for disruption caused by events outside reasonable control, including weather, strikes, airline schedule changes, civil disruption or natural events. We will always help you re-plan around them.
06
Getting in touch
- Questions about these terms, or about a booking, can be raised with us directly at any time. We would rather answer them before you book than after.
