The process

Six stages, and no surprises in any of them

You always know what happens next and what we need from you. Nothing gets booked before you've seen it, and nothing gets charged before you've agreed it.

0120 – 30 minutes

A conversation, not a questionnaire

We talk about how you like to travel before we talk about where. Slow or dense, hotels or homestays, museums or mountains, who's coming and what each of them quietly wants out of it. No commitment, no cost.

Rough dates, rough budget band, and who's travelling.

023 – 5 days

The route

Before hotels, before prices, we send you the shape of the trip: regions, nights in each, the order, and why. This is the stage where big changes are cheap, so this is where we want your honest reaction.

What we need from you

Tell us what feels like too much or too little. Most routes go through two drafts.

035 – 7 days

The full plan, costed

Day by day, with hotels named, transport booked in principle, timed entries identified and a single clear price. Where there's a genuine choice: a better hotel, a longer drive, an extra night, we show you both options rather than deciding for you.

What we need from you

Approve it, or send it back. Revisions are expected, not an inconvenience.

041 – 2 weeks

Booking and documents

We book everything: flights, stays, trains, transfers, entries, and the restaurants that need reserving weeks ahead. Visa paperwork is guided step by step. You get a travel document that works offline, with addresses, timings and emergency numbers.

Passports, documents, and a deposit to hold inventory.

05The whole trip

While you're away

One number, answered on your timezone. If a road closes, a flight moves or the weather turns, we rebuild the affected days while you're still on the trip rather than after it.

Message us. That's genuinely it.

06A week or two later

After you're back

We ask what worked and what didn't, honestly. It's how the next version of every route we plan gets better and how we know whether to keep recommending a hotel.

Ten minutes of honest feedback.

The questions that come up at this stage

Six to ten weeks is comfortable for most private trips. Japan in cherry-blossom season, Europe in summer and anything involving Schengen visas want three to four months.

The first conversation and the route are free. Planning fees, where they apply, are quoted upfront before any detailed work starts, never buried inside a package price.

Yes, and plenty of clients do. We'll plan around what you've already booked and tell you honestly if a booking is going to cause a problem on the ground.
